Because SettlementRoom permits users to submit email, messages, documents, dates, and other information for posting on, and transmission through our site, we have developed this Privacy and Security Statement to inform our members and users of our policies and practices regarding such information. We encourage you to review this Privacy Policy to better understand our views and practices, and how they pertain to you as a user of the services provided by SettlementRoom Systems, Inc. and its affiliates ("SettlementRoom").
Your Privacy, Data Security, Special Offers
We will not disclose your payment information, personal information, property information, documents, contacts, messages, or any related transaction information to any third party for marketing or data mining purposes. Certain software and hardware vendors that provide direct critical services to SettlementRoom may on occasion have access to some of your information if it allows them to provide, trouble shoot, or improve those services. For example, SettlementRoom uses vendors for credit card processing, fax services, registered email, and server management. None of these service providers will ever reuse your personal information, and all have strict internal privacy controls. At SettlementRoom, we have put in place additional privacy protection control systems, including Secure Socket Layer (SSL) encryption and firewall protection designed to help protect your personal information. Only authorized SettlementRoom employees are permitted to have access to your information, and such access is limited by need, and governed by our strict internal security policies (see below).
Offers: On occasion, SettlementRoom may display or send special product offers to its users. Such offers may be for SettlementRoom products and services, or the products and services of other companies. These offers will originate only with SettlementRoom. It will always be your choice 1) whether you choose to pursue any such offer, 2) whether you choose to provide any personal information to the offering company, or 3) whether you wish to initiate a relationship or purchase with the offering company. You should contact SettlementRoom support at any time if you wish to verify the authenticity of an offer, or if you believe any offer may have violated our policies.
In addition, we ask you to create passwords. Passwords are standard security measures provided to give only you, and others authorized by you, access to your account. Your passwords and Log In information are stored in our physically and electronically secure servers, making this information inaccessible to unauthorized persons.
When you create an account or contract for any of the services available on SettlementRoom, you will be providing information about yourself and your business in order to make the service useful to you and to create a business relationship with SettlementRoom. This includes contact information (such as name, address, email and telephone number and, if you become a user, credit card and billing information). We may use this information to maintain your account, provide better customer service, to advise you about changes in our service or policies, and to update or remind you regarding services and products related directly to SettlementRoom.
We also allow the input of and store contact information regarding third parties who are invited by our users to participate in their transactions. We do not use this information for any purpose other than to send important site related notifications during the transaction, such as notifications and reminders, nor do we share, sell, or disseminate this personal information to any third party.
We may also collect and use information for internal purposes. We may analyze and evaluate user preferences, usage patterns, and feedback in order to make improvements to the present and future versions of our site and service. Any list that we compile from user input will not be sold or shared with any third party.
To help our associates, and other interested parties to better understand our users' demographics and interests, we may provide third parties with general statistical information about our users as a group, but never individual information which could be used to identify you personally (without your express permission). Our marketing staff may use this general statistical information to determine the effectiveness of programs and to refine their marketing plans.
No information is collected by third parties while you are logged into your SettlementRoom account. As a convenience to users, SettlementRoom may offer joint Log In to or from the SettlementRoom service to other related services offered by third parties with whom SettlementRoom has an established business relationship. For example, in the future it may be possible to use forms, printing services, or do property data searches using third party tools, all launched directly form your SettlementRoom account. In these cases, which will be optional and clearly marked, SettlementRoom may exchange a user name and password and other related data to the partner site to allow a more seamless use of these partner services.
We May Occasionally Contact You
We may use certain personal information for the purpose of sending you reminders, notices about new features and services, company business, newsletters, and the like. All messages to those on our mailing list from SettlementRoom will come from SettlementRoom only.
Changes in Policy and Notification
If at some point in the future we change our information usage practices or other material terms of this Privacy Policy in a way that that affects your personal information, we will notify you by email of the relevant changes. At the time of such notification, we will advise you of steps you can take to continue to protect your personal information.
Information Exchanged Between Users
Users will often exchange information between themselves on individual SettlementRoom transactions web sites, as well as by email, CDs, electronic media, and print media. Users are cautioned to closely protect use of and access to their SettlementRoom services, printed copies they make, email addresses, and CDs and electronic media, in order to prevent unauthorized access and to personal information, as well as preventing the likelihood of unsolicited communications from other sources.
Cookies are information that a web site transfers to your computer's hard drive to store data that you provide (for example, your User Name). They facilitate future visits to the site so that you do not have to enter the same information multiple times. If a cookie contains confidential information, we deliver it using Secure Sockets Layer (SSL) security that encrypts and protects the information as it travels between your computer and our site.

SettlementRoom is also committed to a high standard of physical and data security. SettlementRoom's servers are housed in one of the top data centers in the United States. To further protect your data and personal information, SettlementRoom employees agree to be bound by an internal security policy designed to establish standards and procedures that are to be followed for the purpose of further enhancing the security of our corporate and application servers and the data they contain. For example, our security policies establish minimum standards of data center security, intrusion detection, virus protection, password guidelines, security incident reporting and follow up procedures, backup procedures, and internal security oversight. While this policy cannot guarantee the security of our systems, it represents our commitment to the goal of the maintaining the highest security standards in our industry.
For your added peace of mind, SettlementRoom has made special arrangements to keep your data available online for 30 days even in the event of a financial failure of SettlementRoom (although this is very unlikely as we are privately held with no third party debt and no venture capital).
